A new sending domain is a stranger to every mailbox provider on the internet. It has no history, no reputation, and no track record — and mailbox providers are cautious with strangers who suddenly start sending a lot of mail. Warming up is the process of introducing your domain gradually so it earns trust instead of tripping alarms.

Why warming matters#

Reputation is built on behavior over time. If a domain that has never sent anything suddenly pushes 100,000 messages in a day, that pattern looks exactly like a compromised account or a spam operation. Providers respond by throttling, deferring, or filtering your mail — which can tank a launch. Ramping slowly lets providers watch you behave well at each volume level before you ask them to trust you with more.

The core principle: gradual, engaged volume#

Two things build reputation together: volume that grows slowly and recipients who actually engage. You want each day's sending to be a modest step up from the last, and you want the mail you send during warm-up to go to people who open, click, and reply — not to a cold list.

A typical ramp starts in the low hundreds per day and roughly doubles every few days, watching the numbers at each step. There's no universal schedule; the right pace depends on your total volume and how clean your list is. The signal to slow down is any rise in deferrals, bounces, or complaints.

Practical tactics#

Start with your best recipients. Send early warm-up mail to engaged, recently active users. High open and reply rates are the strongest positive signal you can generate.

Prioritize transactional first. Transactional mail is naturally high-engagement and low-complaint, which makes it ideal warm-up traffic. Password resets and receipts build reputation while doing real work.

Keep authentication perfect. SPF, DKIM, and DMARC should all be verified before the first message goes out. Warming a domain with broken authentication just teaches providers to distrust it.

Watch each provider separately. Gmail, Outlook, and Yahoo maintain independent reputations for you. One may warm faster than another; let the slowest set your pace.

Don't stall. Reputation decays if you go quiet. Once warmed, keep a reasonably steady flow rather than sending in unpredictable bursts.
